Accounting Assistant
ACCOUNTING ASSISTANT POSITION DESCRIPTION
Reports To: Accounting Manager Classification: Part Time 20 hours weekly, $18-$20 Hourly Compensation: Depends on education and experience
Job Overview
Accounting Assistant will provide essential support to the Accounting Manager and. Under general supervision, this role involves performing a variety of accounting and administrative tasks that require a strong understanding of basic accounting principles, excellent organizational skills, attention to detail. The position operates with a high degree of independence within established guidelines while ensuring accuracy in financial records and overall efficiency in accounting operations.
Responsibilities and Duties
Process Weekly Offerings
Weekly offerings are counted and recorded every Monday. Special events may occasionally result in higher volumes, requiring additional time for processing and recording.
- Conduct the Monday morning offering count with the assistance of a volunteer, ensuring accuracy in all funds received during the previous week.
- Prepare cash deposits and, if necessary, take them to the bank.
- Process remote bank deposits.
- Download and review online giving reports/transactions.
- Post all gifts to individual giving records.
- Process credit card gifts.
Accounts Payables
- Process and record invoices. Prepare and issue payments to vendors, ensuring accuracy and timely payment.
- Enter any checks into Positive Pay
Payroll
- Assist with payroll processing, including tracking employee hours.
- Maintain payroll records and ensure compliance with tax payments.
Financial Record Keeping/ Administrative Support
- Enter financial transactions into accounting software QuickBooks
- Reconcile bank and credit card statements monthly.
- Assist in preparing financial reports and summaries as needed.
- Organize and maintain financial documents, contracts, and tax records.
- Communicate with vendors, clients, and team members regarding financial matters.
Other Duties
- Serve as a backup to the Accounting Manager during occasional absences or emergencies.
- Record bank, credit card, and third-party processing activity; weekly or daily as needed and maintain transaction records.
Required Skills & Abilities
- High school diploma or equivalent.
- Familiarity with basic accounting principles.
- QuickBooks experience preferred.
- Proficiency in 10-key operation preferred.
- Strong working knowledge of Microsoft Excel, Word, and Outlook.
- Excellent verbal and written communication skills.
- Strong time-management skills with the ability to prioritize tasks effectively.
- Commitment to working efficiently and accurately with keen attention to detail.
